I, Todd Thorpe, am a Registered Member of the British Association for Counselling and Psychotherapy, operating as a sole trader providing counselling and psychotherapy services. I am the data controller for the personal information described below.

What information I collect
Contact details (name, email, phone number, address)
Additional Information you provide during your introductory call or in correspondence (GP, details)
Notes made during and between sessions, including information about your mental health, personal history, and circumstances relevant to our work together
Why I collect it, and my legal basis
I process your personal data to provide counselling services, in line with my contractual obligations to you and my legitimate interest in delivering safe, effective therapeutic care.
Who else might see your information
My clinical supervisor, as part of my ethical obligation to receive regular supervision. Information shared is anonymised or pseudonymised where possible. They are bound by the same privacy, data protection and confidentiality clauses explained here and in my contract.
How I store and protect your information
Client information and records are stored in either a safe locked filling system or encrypted password-protected files on a computer (this is dependent on whether you’re receiving online or face to face therapy services,) accessible only to me. All notes are stored under a coded reference system.
How long I keep your information
Your personal information, telephone number and address are deleted once we conclude working together. I retain client notes for 7 years, in line with professional guidance and insurance requirements, after which records are securely destroyed.
Your rights
Under UK GDPR, you have the right to: access the information I hold about you; request corrections; request deletion (subject to my professional record-keeping obligations); object to or restrict processing.
If you have any concerns about how your data is handled, please contact me directly. I will acknowledge your complaint within 30 days of receipt. I will investigate and provide a clear outcome with any actions taken without undue delay.
